This Privacy Policy explains how Wilaya Group (“we”, “us”, “our”) collects, uses, shares and protects personal information when you visit wilayagroup.com, submit a form, contact us, or engage our services.
1. Who we are
Wilaya Group is a custom software and automation company based in New Delhi, India. For the purposes of Indian data protection law, we are the data fiduciary in respect of the information described in this policy.

2. What we collect
Information you give us
- Contact form. Your name, business name, phone or WhatsApp number, the type of work you need, and whatever you write in the message field.
- Direct contact. Anything you send us by WhatsApp, email or phone.
- Advertising enquiries. If you respond to one of our ads on Facebook or Instagram, Meta passes us the details you submitted on that form.
- Client project data. During an engagement, you may give us access to your business systems, files, exports or databases. This can contain personal information about your own customers or staff.
Information collected automatically
- Technical data. When you submit our contact form we record the page you submitted from, the referring page, and your browser’s user-agent string. This is used to understand where enquiries come from and to filter automated spam.
- Server logs. Our hosting provider records standard access logs, including IP addresses, as part of running and securing the site.
What we do not collect
We do not ask for payment card details on this website. We do not run advertising or tracking cookies on wilayagroup.com. We do not knowingly collect information from children.
3. Why we use it
- To reply to your enquiry and to send you a proposal or demo.
- To deliver, support and improve the services you have engaged us for.
- To send you information about our services, where you have contacted us or otherwise consented. You can opt out at any time.
- To keep records, issue invoices, and meet our legal and tax obligations.
- To detect and prevent spam, fraud and abuse.
4. Our legal basis
We process your information on the basis of your consent (which you give by submitting a form or contacting us), to take steps at your request before entering into a contract, to perform a contract with you, to meet legal obligations, and for our legitimate interest in running and protecting our business.
5. Who we share it with
We do not sell your personal information, and we do not share it for anyone else’s marketing. We do share it with a small number of service providers who help us operate:
- Hostinger — website hosting and server logs.
- Google (Workspace, Sheets, Apps Script, Gmail) — our contact form writes enquiries to a private Google Sheet and emails us a notification.
- WhatsApp / Meta — where you choose to contact us on WhatsApp, or respond to one of our ads. Your use of those platforms is governed by their own privacy policies.
We may also disclose information where we are required to by law, or to establish, exercise or defend a legal claim.
6. Client project data
Where we handle personal data inside your systems as part of an engagement, we act as a data processor on your behalf. We use it only to carry out the work you have asked for, keep it confidential, and delete or return it at the end of the engagement or on your written request. You remain responsible for having a lawful basis to collect and process that data in the first place.
7. International transfers
Some of our providers, including Google and Meta, store and process data on servers outside India. Where that happens, we rely on those providers’ own safeguards and contractual protections.
8. How long we keep it
- Enquiries that do not become projects: up to 24 months, then deleted.
- Client and project records: for the duration of the engagement and for as long as we are required to keep financial records under Indian law.
- Client system data: deleted or returned at the end of the engagement, or sooner on request.
9. Your rights
You can ask us to:
- Tell you what personal information we hold about you.
- Correct anything that is wrong or out of date.
- Delete your information, where we are not required to keep it.
- Stop contacting you, at any time, for any reason.
- Withdraw a consent you previously gave.
Email syed@wilayagroup.com and we will respond within 30 days. If you are not satisfied with our response, you may complain to the relevant data protection authority.
10. Security
We use encrypted connections (HTTPS), access-controlled accounts, and limit who can see enquiry data to the people who need it. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable technical and organisational measures to protect your information.
11. Cookies
wilayagroup.com does not set advertising or analytics cookies. WordPress and our hosting provider may set strictly necessary cookies required for the site to function and stay secure. If we add analytics in future, we will update this policy first.
12. Changes to this policy
We may update this policy from time to time. The current version is always at wilayagroup.com/privacy-policy, with the “Last updated” date shown at the top.
